How ATEX Found a Better Approach to Accounts Payable Automation
About ATEX
Established in 1996, ATEX is an Irish specialist in lighting, emergency lighting, lighting controls, harsh and hazardous solutions, cable management and life safety systems. The company works across a wide range of sectors, supplying and supporting projects from commercial and industrial developments to pharmaceutical, healthcare, data-centre and distribution environments.
With a busy accounts function and a large volume of stock-related invoices to process, ATEX was looking for a better way to manage accounts payable — reducing manual work while making invoice processing more straightforward and reliable.
We spoke with Jessica Finegan, Accounts Manager to learn about their experience before and after implementing TraX Accounts Payable Automation.
Before introducing TraX Accounts Payable Automation, ATEX’s invoice processing was highly manual.
Invoices had to be manually imported and matched against stock, creating a time-consuming process for the accounts team.
With a large proportion of invoices coming from a small number of key suppliers, many following similar formats, ATEX felt that an automated AP solution should be a good fit.
The objective was straightforward: reduce manual work, save time and make invoice processing easier for the accounts team.
So ATEX decided to invest in an Accounts Payable Automation (APA) solution.
As they already had an established relationship with their ERP provider, they naturally explored their ERP partner’s own APA solution.
From ATEX’s perspective, this seemed like the logical route. They were already using the ERP system, and the APA solution was intended to work alongside it. There was an expectation that this would make the implementation straightforward and provide a good fit with the way they already worked.
Unfortunately, the experience was very different.
What followed was a frustrating and time-consuming implementation. The system was complicated to set up, the template process was difficult to manage, and ATEX found themselves spending far more time trying to get the solution working than they had ever expected.
Templates were not being created for them, and after limited training, they were left trying to work things out themselves. Problems continued to arise, with templates appearing to work initially and then failing when used with live invoices.
“We were weary then because we were like, we just wasted so much time and money. Now, they did refund us to a level, but you can’t get that time back.”
The project went on for four to five months, consuming a significant amount of time and creating considerable frustration. Eventually, ATEX were told that there was a bug and that one of their requirements could not be delivered. At that point, they decided to pull the plug.
“It was absolutely awful. It was absolute mayhem. It was dreadful.”
For Jessica, the experience was particularly frustrating because the whole reason for investing in AP automation had been to save time.
A Very Different Experience with TraX APA
Having been through that experience, ATEX approached their next APA project understandably cautiously.
When Jessica came across Enterprise Imaging Systems and started looking into TraX APA, she was upfront about what had happened previously. She was not 100% confident about going through another software implementation and wanted to be sure that this time would be different.
The conversations with the Enterprise Imaging Systems (EIS) team, who solely work in the area of electronic document management and accounts payable automation, gave her the confidence to take the next step.
And the difference was immediate.
“It was amazing. 100%.”
The EIS team handled the majority of the template setup, while Jessica chose to create some herself so that she could properly understand how the system worked. When issues did arise, they were dealt with quickly – usually the same day or the following day at the latest.
For ATEX, the implementation was a completely different experience.
“It was seamless.”
The implementation of TraX APA was, in Jessica’s words, “seamless”.
A major part of that difference was the expertise and hands-on support provided by the Enterprise Imaging Systems team.
Rather than leaving ATEX to figure out the system themselves, the EIS team handled the majority of the template setup. Jessica also chose to create some templates herself because she wanted to understand how the system worked.
The contrast with her previous experience was striking.
“We got the hang of your system after one training session.”
Donal from the EIS team, in particular, made a strong impression.
“Donal was just amazing. 100%.”
When ATEX encountered issues, they were dealt with quickly — often the same day or the following day at the latest. As the team has continued to refine its processes, that support has remained available.
For ATEX, this ongoing expertise is just as important as the initial implementation.
“They were just super from the start and continuing on. They’re just available, great to talk to and explain things properly.”
✅Saving Time and Simplifying the Process
Today, ATEX moves invoices into TraX, where they are checked, processed and routed to their ERP system for payment according to the relevant workflow. Most invoices are achieving three-star verification, with any variances identified and dealt with as part of the process.
The result is a much more straightforward accounts payable process and, importantly, one that is actually delivering the time savings ATEX had originally been looking for.
“We’re saving so much time now.”
✅ No Compromise on Integration
TraX APA fully integrates with their ERP system, allowing the invoice process to work alongside the systems ATEX already relies on. They can also access TraX directly from within their ERP system, giving the team a connected process rather than forcing them to work across separate, disconnected applications.
That integration was a key part of making the solution practical for ATEX. The aim wasn’t simply to automate invoices — it was to make the wider process easier to manage without creating another system that the accounts team had to work around.
✅ A Specialist Solution, Backed by Specialist Expertise
For ATEX, another important difference is that accounts payable automation and electronic document management aren’t an add-on to what EIS does.
They are the core of the business.
That specialist focus also means customers have access to people who understand the processes behind the software, rather than simply being handed a product and directed towards a general help desk. Their development roadmap is also entirely focused on improving the accounts payable process for their customers.
For Jessica, the experience has demonstrated that choosing an APA solution isn’t simply about the software itself. The expertise behind the implementation, the ability to understand how a business works and the support available afterwards all matter.
When asked whether she would recommend Enterprise Imaging Systems, her answer was equally clear:
“Absolutely, absolutely.”
Her final assessment brings the whole experience together:
“The product itself is excellent.”
And, of the team behind it:
“They were just super from start and that hasn’t changed now we are live on the system”
