Now the TraX solution has been running for a few months and put very simply by Simon, it just works. There’s no drama or hassle. It auto processes approximately 90% of invoices automatically and the ones that it doesn’t highlight the discrepancies to the team in an efficient manner. This has allowed the team to spot and correct pricing anomalies with the purchasing team enabling proactive action and resolution.

Invoices are now auto matched to delivery notes and any other relevant documents and can be viewed directly from Intact iQ so the team no longer have to navigate between both systems which saves a lot of time and just makes us more efficient.

The implementation process was also relatively seamless. Mapping the documents was an intuitive process and now the team continually auto-map any new suppliers etc. as they appear.

Accounts Payable Automation

Additionally, the Accounts Payable process has seen a transformation. Approving invoices is now digital, eliminating the paper chase. There is an authorisation process in place to approve invoices with the system auto-extracting the invoices and issuing them to the designated approver along with timely reminder alerts, all set up in accordance with Pennington’s designated AP rules. The team can immediately see what invoices are approved, pending and who hasn’t actioned their tasks. The audit trail is also a useful feature providing a digital record of all notes, approvals, paperwork related with each transaction.
