Having previously worked with similar systems, Rachel had anticipated the impact that an accounts payable automation system like TraX would have on the team’s productivity. In just four months of usage, it has already eliminated much of the manual grunt work associated with accounts payable, allowing the team to focus on more strategic, value-added tasks.
TraX’s auto-harvesting feature now pulls 80% of supplier invoices directly from the Deli-Lites accounts email system into TraX every morning at 5 am. For the remaining paper invoices, scanning them into TraX is a simple process. With all invoices in TraX Rachel and the team have ready access to all invoices which have been auto indexed and auto linked to all related documents such as PODs etc. The integration between TraX and their ERP system (Intact iQ) is another benefit as the two-way integration ensures both systems are exchanging and verifying invoice related data. The other benefit is that all employees can access the TraX APA solution within Intact without the need for separate log-ins.
Approval processes are also simplified within TraX. TraX users can simply select the email button in TraX triggering an email to be sent with the invoice auto-attached to the designated approver, thus eliminating the need to switch to Outlook for email creation.
TraX APA’s assistance in statement reconciliation is equally beneficial. The system automates the identification of missing invoices, sending email requests to suppliers asking for missing invoices to be emailed.
Comparing the before and after, Rachel notes,
